The Society for Evidence-Based Gender Medicine (“SEGM”) is a non-profit organization based in the United States. This Privacy Policy explains how SEGM collects and uses information through segm.org and other websites or online channels we own or operate and through your interactions with SEGM online or otherwise (collectively, the “Services"). We are committed to protecting the privacy of the clinicians, researchers, and stakeholders who engage with our work.
Please read this Privacy Policy carefully to understand our policies regarding your information. SEGM is a 501(c)(3) nonprofit corporation and therefore is exempt from certain privacy laws. For this reason, certain details in this Privacy Policy are provided as a courtesy only. SEGM will comply with the requirements of privacy laws that apply to our organization and its activities.
By accessing our Services in any manner, you agree to our privacy practices as described below. If you do not agree with this Privacy Policy, do not access or use our Services.
1. WHAT IS PERSONAL INFORMATION?
As used in this Privacy Policy, “Personal Information,” means any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household. For our purposes, Personal Information includes information like identifiers (e.g., name, email), employment information, or internet activity (e.g., browsing history or some cookie data).
Privacy laws also govern other types of information (e.g., commercial history, legally protected information, biometrics, inferences, etc.), but SEGM limits our privacy practices only to the type of Personal Information described in Section 2 of this Privacy Policy.
Please also be aware that not all information about you is legally protected as “Personal Information.” For example, publicly available information, aggregated information (meaning data summaries or reports with Personal Information removed), and anonymized information that cannot be linked back to an individual are typically not protected by privacy laws. Also, information collected on a business-to-business basis, such as your information exchanged as part of your job, may not be protected as Personal Information.
2. COLLECTION AND USE OF PERSONAL INFORMATION
SEGM collects Personal Information with your consent (as informed by this Privacy Policy), if we have a legitimate interest, or as authorized or required by law. We only process Personal Information that is relevant, adequate, and reasonably necessary and proportionate to achieve the purposes described in this Privacy Policy, or for other purposes that we disclose to you and are compatible with the context of collection.
In the preceding 12 months, SEGM has collected identifiers, internet and similar activity, employment information, and any other Personal Information you choose to submit via your communications with SEGM. We collect this information from sources and for purposes described below:
- Contact Us. If you Contact Us through the online form on our website, by email, or otherwise, we will collect your name, email address, country location, professional interest, and the content of the message you choose to send us. We use this information to respond to your inquiry or to provide you with the information you have requested.
- Mailing List. If you subscribe to our newsletter or join another mailing list we offer, we will collect your email address. SEGM will only use your email address to send you the newsletter(s) or email(s) to which you have subscribed. You can unsubscribe at any time by clicking the “Unsubscribe” link at the bottom of any of the emails you receive from SEGM.
- Social Media. If you interact with SEGM on social media, we will be able to see your public interactions with us on those platforms, for example your comments or “likes” on our channel or content. SEGM may use this information to respond to your comments or any messages you send to SEGM through a social media platform.
- Conferences. If you register to attend or present at a SEGM conference, we will collect your name, email address, and professional association or organization details. We use this information to facilitate your registration, communicate with you about the conference, and to provide attendee support. Sessions and presentations may be recorded. Please direct any questions to SEGM conference staff.
- Website Interactions. The Services may automatically collect technical data about your interactions with the website, such as search queries, usage details, and technical data about your device. This data is collected anonymously so that we cannot identify an individual website visitor. We use this data to provide and improve the website and to understand Services usage.
- Cookies and Related Technologies. SEGM uses cookies and related technologies to collect technical data related to your use of the Services. Please see the cookie consent mechanism on our website for details about the types of cookies and related technologies used on the website and your options to control how those technologies interact with your device. You can opt out of any cookies that are not “Essential” using the cookie control tool on the website. You can also block or purge cookies from your device by adjusting your device settings.
In addition to the specific uses described above, SEGM may use Personal Information to:
- Protect your privacy and the privacy of others;
- Understand how customers use the website and to identify and implement improvements to our Services;
- Protect the Services from fraud monitoring and prevention;
- Enforce our terms, conditions, and policies;
- Comply with a law, regulation, legal process, or order;
- Respond to privacy requests;
- If we believe it is necessary, to identify, contact or bring legal action against individuals or entities who may be causing injury to you, to SEGM, or to others; or
- Fulfill any other purpose to which you consent.
SEGM will not collect additional categories of Personal Information or use already collected Personal Information for purposes that are materially different, unrelated, or not reasonably necessary or compatible with the original purpose without notice and consent to you as required by law.
3. CHILDREN’S PRIVACY
SEGM and our Services is for adults only. Our Services are not intended for children, and children should not use our Services. As a 501(c)(3) nonprofit corporation, SEGM is exempt from the federal Children’s Online Privacy Protection Act and certain consumer privacy laws. Even so, we understand that children require additional privacy protection online and we are committed to taking extra precautions to protect children’s privacy.
SEGM will not knowingly collect any Personal Information from individuals under 16 years of age. Please Contact Us if you believe we may have inadvertently collected information from or about a child under the age of 16 without parent or guardian permission so that we can delete it from our systems.
4. LOCATED IN THE UNITED STATES
SEGM is a nonprofit organization located in the United States. If you access the Services from outside the United States, your Personal Information will be transmitted to the United States. When your information is moved from your home country to another country, the laws and rules that protect your Personal Information in the country to which your information is transferred may be different from those of the country where you live. For example, if your information is in the United States, it may be accessed by government authorities under United States law. By allowing SEGM to collect Personal Information about you, you consent to the transfer and processing of your Personal Information as described in this section.
5. NOTICE OF PRIVACY RIGHTS
This section provides notice of the privacy rights that may be available to you under the privacy laws governing the jurisdiction where you reside. As a small nonprofit organization, some privacy laws do not apply to SEGM and so we may be limited in our obligation or ability to fulfill certain requests. SEGM is committed to compliance with the laws that apply to our organization and activities.
Depending on where you reside, you may be entitled to some or all of the privacy rights listed below:
- Right to know. You have the right to know how SEGM collects and processes your Personal Information. SEGM provides the required information for a consumer’s right to know in this Privacy Policy. We may provide you with additional notices about other ways we process your Personal Information, such as by sending you a notice via email or posting information in the Services.
- Right to reasonable expectations. You can expect SEGM to collect, use or disclose Personal Information responsibly and not for any purpose other than which you consented. We set your expectations in this Privacy Policy, and we collect legally required consent at various stages of our interactions with you. If we collect or use your Personal Information based on your consent, we will also notify you of any changes and will request your further consent as required by law. You may withdraw your consent at any time with reasonable notice by Contacting Us.
- Right to accuracy, and the right to correct your Personal Information. You may have the right to the accuracy of your Personal Information and the right to request that we correct inaccurate Personal Information about you on our systems. If you become aware that the Personal Information that we hold about you is incorrect, or if your information changes, please inform us and we will update our records.
- Right to access your Personal Information. You may have the right to request confirmation that we have collected Personal Information about you and that we provide you with access to that Personal Information. Please note that certain laws may prohibit us from disclosing specific pieces of Personal Information, and we may be limited in the number or frequency of requests we must fulfill.
- Right to deletion. You may have the right to request that we delete or dispose of your Personal Information on our systems, with certain exceptions. SEGM may permanently delete, deidentify, or aggregate the Personal Information in response to a request for deletion.
- Right to data portability. In some cases, we are required to provide your Personal Information to another organization at your request and in a structured, commonly used machine-readable format, so that the other organization can read and use it.
- No selling or sharing Personal Information. Some jurisdictions entitle consumers to opt out of the sale or sharing of their Personal Information or targeted advertising practices. SEGM does not sell Personal Information or share Personal Information with third parties for cross-contextual behavioral advertising purposes.
- Limited use and disclosure of sensitive Personal Information. Some privacy laws grant the right to require an organization to limit use and disclosure of sensitive Personal Information only as necessary to provide the requested Services. SEGM does not collect sensitive Personal Information, and in no case will SEGM use or disclose sensitive Personal Information for the purpose of inferring characteristics about a consumer.
- Right to restrict processing. You may have the right to request that we restrict the processing of your Personal Information if (i) the data is inaccurate, (ii) the processing is unlawful, (iii) we no longer need the Personal Information, or (iv) you exercise your right to object. Your right to restrict may be limited to Personal Information that is sensitive in nature, or that is sold or shared for certain purposes.
- Right to object. You may have the right to request, under certain circumstances and where we are required to do so by law, that we limit our processing of your Personal Information as you request.
- Right to not be subject to automated decision-making and the right to opt out of profiling. SEGM does not use automated decision-making or any form of automated processing of Personal Information to evaluate, analyze, or predict your performance, preferences, choices, or behavior.
- Right to non-discrimination. If you reside in a jurisdiction that extends a right to non-discrimination related to the exercise of privacy rights, we will not (i) deny you goods or services, (ii) charge different rates for goods or services, (iii) provide you a different level or quality of goods or services, (iv) retaliate against you as an employee, applicant for employment, or independent contractor; or (v) suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services, because you exercised your statutory right unless permitted by law.
- Health Data Rights. SEGM does not collect any identifiable health data through our website or other Services. Some laws entitle consumers to certain details about health data collected about them, including (i) confirmation of whether the entity collects, shares, or sells the consumer’s health data and access that data, including a list of all third parties and affiliates with whom the entity has shared or sold the health data and a method to contact those third parties, (ii) a method to withdraw consent related to use of health data, and (iii) the right to have their health data be deleted.
- Right to disclosure. You may request that we provide you with certain details about our collection and use of your Personal Information, such as: (i) the categories of Personal Information we have collected about you; (ii) the categories of sources for the Personal Information we have collected about you; (iii) categories of our staff with access to your Personal Information and our business purpose for processing that Personal Information, as applicable; (iv) the categories of third parties with whom we share that Personal Information; and (v) if we sold or shared your Personal Information under the CCPA or a privacy law with similar provisions, two separate lists stating: (y) sales or sharing, identifying the Personal Information categories that each category of recipient purchased; and (z) disclosures for a business purpose, identifying the Personal Information categories that each category of recipient obtained. Certain laws may limit the number or frequency of requests we must fulfill.
- Right to marketing information. If you are a resident of the State of California, California’s Shine the Light Act (Civil Code sections 1798.83-1798.84) entitles California consumers to request certain disclosures regarding Personal Information sharing with affiliates and/or third parties for marketing purposes.

6. YOUR PRIVACY CONTROLS
You have a variety of options for you to directly control your privacy when using our Services:
- Emails. SEGM may send you emails about our products or Services or other topics we think might interest you. You can change how we communicate with you at any time by updating your communication preferences on your account or clicking the “Unsubscribe” link at the bottom of any email we send to you. Please be aware that if you opt out of marketing emails, we may continue to contact you about your existing orders or your account.
- Cookies and Device Settings. You can control the data we collect through automated means by adjusting your device settings, such as blocking pixels and cookies, or installing a third-party plugin to control how cookies interact with your device.
- Deletion and Other Privacy Requests. If you want SEGM to delete your Personal Information from our systems or exercise a privacy right available to you under applicable law, or if you require assistance or would like to express a concern or lodge a complaint, please Contact Us. We will honor your request as required by applicable law. SEGM can only fulfill a privacy request when provided sufficient information to verify that the requester is the individual or an authorized representative of the individual whose Personal Information is subject to the request, and to properly understand, evaluate, and respond to the request. SEGM does not charge a fee to process or respond to a verifiable request without legal grounds to do so. If SEGM determines that the request warrants a fee, we will inform you and provide a cost estimate before completing your request. SEGM endeavors to respond to privacy requests in accordance with the requirements of applicable law. - Do Not Track. Do Not Track signals are signals sent through a browser informing us that you do not want to be tracked. Currently, our systems do not recognize browser "do-not-track" requests, but you may disable certain tracking via your device settings.
7. DATA SECURITY
SEGM has implemented and maintains reasonable and appropriate security measures and practices to help protect the confidentiality, integrity, and accessibility of Personal Information on our systems from unauthorized or illegal access, destruction, loss, misuse, disclosure, or alteration. Our security measures include industry-standard SSL/TLS encryption and secure servers. We maintain administrative oversight of our database and our own email delivery infrastructure to ensure that your information is handled according to our security protocols. Our technical and physical security measures are appropriate to the volume, scope, and nature of the Personal Information processed and designed to meet our duty of care.
However, no security measures are guaranteed to be 100% secure. You are responsible for taking steps to protect your device and information from unauthorized access. SEGM is not responsible for any lost, stolen, or compromised information or login credentials.
8. DATA RETENTION
SEGM retains the Personal Information we collect for the duration necessary to achieve our business goals. For example:
- Contact information collected when you communicate with SEGM is retained for the period necessary to respond to your inquiry or fulfill your request.
- Mailing List information is retained until you unsubscribe from our emails or other communications.
- Cookies and related technologies on the website mostly process non-personal technical data, but in some cases IP addresses or other nonsensitive information may be processed as well. Data collected through these technologies may be retained for as little as a few minutes or for longer periods like weeks or months. Specific retention periods depend on the functionality of the individual cookie, pixel, or other technology and SEGM internal policy. You can clear the cookies from your device at any time through your device settings and controls.
- Other data is retained according to our policies. We periodically securely delete Personal Information when it is no longer needed to achieve our purposes. SEGM reserves the right to retain Personal Information for longer periods if necessary to meet our requirements.
9. DISCLOSURES TO THIRD PARTIES
We will only disclose Personal Information to the third parties as described in this section, with your permission, or as required by law. In the preceding 12 months, we have disclosed Personal Information for business purposes to the following third parties:
- Service providers: SEGM uses trusted third-party service providers like email providers, data hosting companies, and data analytics to provide the Services. These service providers may have access to your Personal Information to perform their contractual obligations to us. The type of information that we disclose to a service provider will depend on the service that they provide to us. Our service providers are subject to contractual agreements that protect your Personal Information, and we require all service providers to maintain confidentiality standards that are commercially reasonable to ensure the security of your Personal Information.
- No Sale or Sharing: SEGM does not sell Personal Information to third parties or share it for cross-contextual behavioral advertising purposes.
- Law enforcement, and other governmental agencies, as permitted or required by law.
- Other third parties as permitted by law. For example, to comply with a legal requirement or a court order, when we believe it is appropriate to take action regarding illegal activities or prevent fraud or harm to any person, to exercise or defend our legal claims, or for any other purpose with your consent.
- Aggregated and deidentified data: We may disclose aggregated or deidentified data to third parties without restriction.
10. THIRD-PARTY SERVICES
When using our Services, you may have the option to link from or access third-party services. SEGM has no control over third-party websites, apps, devices, or systems. You should exercise caution when disclosing your Personal Information online.
11. UPDATES TO THIS PRIVACY POLICY
SEGM may update this Privacy Policy from time to time. You can see when this Privacy Policy was last updated by checking the “Last Updated” date. Your use of the Services after an update is posted will be deemed your acceptance of those updates and your consent to the privacy practices described in the updated posting.
